What is technician utilization rate?
Technician utilization rate is the share of a technician’s available time that is spent on productive or billable work, calculated as productive hours divided by total available hours, multiplied by 100. It measures how much of the workforce’s paid capacity actually reaches customer-facing work rather than travel, waiting or administration.
The same calculation applied to scarce senior specialists is usually called expert utilization rate. The arithmetic is identical; the difference is which population you are worried about.
How to calculate technician utilization rate
Utilization Rate = (Productive Time ÷ Total Available Time) × 100
An expert with 160 available hours in a month who spends 120 of them on productive work has a utilization rate of (120 ÷ 160) × 100 = 75%.
- Productive time is time spent on core tasks directly related to the person’s expertise — jobs, project work, client consultations, research and development.
- Total available time is the time available within the period, typically excluding non-working hours, holidays and vacations.
- Non-productive time is everything else: administration, internal meetings, and idle time waiting for assignments.
The definitional trap is travel. Counting windshield hours as productive makes the number look healthy while hiding the largest single source of lost capacity in field service. Decide explicitly whether travel is in or out, and keep it consistent.

Why higher is not automatically better
Utilization is the field service KPI most often pushed past its useful range. Capacity that is 95% committed cannot absorb an emergency, so response times lengthen, overtime costs rise, and the SLA breaches that follow cost more than the idle hours saved.
It is also the easiest metric to inflate — reclassify travel or reporting as productive and the number moves without anything improving. What drives utilization down
- Travel to distant or remote sites. For organizations serving an international installed base, this is usually the dominant term — a two-day round trip for a two-hour job.
- Skills mismatch. When only a few people can resolve a given fault, those people become the bottleneck while others sit underutilized.
- Demand variability. Uneven project or seasonal demand produces idle periods that staffing cannot flex fast enough to absorb.
- Uneven workload distribution. Work concentrating on the most trusted individuals while capacity exists elsewhere.
- Administrative load. Reporting, documentation and chasing procedures that displace hands-on work.
How to improve utilization
- Fix the definition first, particularly the treatment of travel.
- Remove travel where the job does not require hands on the equipment — this is the largest and most controllable term for most industrial service organizations.
- Spread scarce expertise so the same few specialists are not the constraint on every complex fault.
- Plan capacity against real demand patterns rather than headcount averages.
- Set a target band, not a maximum, and monitor SLA performance alongside it.
